A freight brokerage's document follow-up should not live in one coordinator's inbox

Exports come in. Rate confirmations land. Proof of delivery arrives late, with the wrong reference number, from a driver's personal phone. Then the missing-document queue becomes something a single coordinator remembers — and the moment they are out, the lane stops moving.

In a hands-on Zati workshop, you and David build the worker that assembles that queue for real: shipment export plus PODs in, a named missing-document list and held follow-up drafts out, with your team still deciding what gets chased and what gets escalated.

Start with the document chase. Keep it either way.

Your first conversation with David is free. You receive an audit of your website's SEO, AEO and GEO, a preview of how a redesign could look, and a demo of a missing-document queue built around shipments you actually handle. Bring your site and one recurring document problem. You keep the audit report and redesign preview whether or not you book a workshop.

What we build with you

A website brokers and shippers can find and understand

We work from the audit on technical SEO, service pages, mobile experience and the contact path — the lane, mode and coverage information a shipper is checking before they call. AEO and GEO work makes that business information clearer and easier for answer engines to access and interpret. We redesign the agreed pages with you and show you how to update them, so the next improvement does not have to become another development project.

A voice agent for the calls that come in

Set up an xAI voice agent around your business information, common questions and the details you need from a shipper calling about a load: origin, destination, equipment, timing, tender status. Work through the call flow together and test what happens when the agent needs a person. We agree on any booking, quotation, transfer or connected-tool action before including it. Your business decides what can be handled automatically and what needs your confirmation.

An AI-worker organization with clear responsibilities

Give workers useful jobs with named owners, expected outputs and acceptance criteria. Using Zati, Muse or GrokBot where the selected platform suits your work, we design roles such as:

  • Documents worker — compares a shipment export and the PODs received against your document checklist, returning a queue naming each shipment, the files checked, and the gap.
  • Follow-up drafting worker — prepares the email or call script to the shipper or carrier requesting the missing item, held as a draft for review.
  • Maintenance workers for SEO, AEO and GEO — review pages, identify gaps, suggest updates and prepare changes for your review.

Practice asking for work, improving instructions and reviewing output through conversation.

The skills to keep it working

You do the work alongside David. Practice changing information, spotting a mistake and making the next improvement yourself. We finish with you operating the agreed setup and explaining how to maintain it. You keep your accounts, the operating guidance and a routine for checking the work.

One workflow, worked through in the workshop

The workflow we would scope with you is prospective — we map it to your documents during the call: shipment export and PODs → missing-document queue → follow-up drafts held for a coordinator to send. Your TMS keeps owning shipment records; the workers organize the work around it, with connected access scoped to what is supported and the permissions you grant.

Choose the workshop depth that fits

Each package has a written scope and quote agreed on the call.

  • 2 hours — one agreed improvement or one worker, with hands-on practice and next steps.
  • 4 hours — one focused workflow and its maintenance routine, with time to test and repeat it yourself.
  • 8 hours — a broader setup across agreed website, voice or worker tasks.
  • 16 hours — several agreed parts connected, with confidence operating and improving them.
  • 32 hours — a deeper, multi-workflow programme with an extensive operating playbook.

Questions before you begin

Will this integrate with our TMS?

We scope integration costs on the call, before you commit to a workshop. Zati, Muse and GrokBot are alternative tool choices, not automatically interoperable, and connected access depends on what the platform supports. We identify that before the workshop, and we start with documents and drafts rather than a full system replacement.

Can AI decide which carriers we use or whether a document is acceptable?

No. Workers assemble, compare and draft. Whether a mismatched entity name is a clerical fix or a disqualifying issue, what gets escalated, and what a carrier is allowed to haul for you stays with your team.

Does free hosting mean everything is free?

It covers the website-hosting option we set up and show you how to manage. Domain renewals, phone and AI usage, and any paid software remain separate costs, identified before the workshop. You can also keep a suitable existing host.

Can you guarantee rankings or AI citations?

No. We improve the agreed pages and create a maintenance process; search and answer engines determine their own results.
